Board Meetings

Board meetings are held once a month. All unit owners are welcomed to attend.

However, only Board members are legally allowed to vote on issues raised and business transactions. Visiting unit owners may only speak on a particular issue if invited to do so by the Board. Those wanting to be present at a Board meeting are asked to contact  any member of the Board or the Property Manager well before the meeting so as to ascertain the date, location and time of such meeting.

The Corporation is required to keep "adequate" records including minutes of board meetings as stated in the Condominium Act.

Owners, mortgagees, or agents of any of them are legally entitled, upon written request and reasonable notice, to examine the Corporation's records. Please direct your written requests to the Board or to the Property Management company:

Highlights from Board Meetings

• Tuesday, December 14, 2010

• Received, discussed, and approved monthly Management Report  (no additions)

• Received, discusses, and approved Financial Statements for the period ending November 31, 2010

• Discussed the large number of units who have yet to remit any portion of the Special Assessment.

• All unit owners who have not submitted their Special Assessment contributions as of December 15, 2010 are to be sent notices of lien.

• Discussed and approved the requests (11)  received for re-scheduling the payment of Special Assessment. (Extended to March 16, 2011). Individualized letters have been sent making them aware of the decision.

• Discussed the issue of units  being used as business in a single-family residence area. Legal opinion to be sought on the matter. Report in January-February 2011.

Correspondence

• From Mr. Reshamwalla (157) expressing willingness to be appointed to the Board. Invitation to attend next board meeting will be sent.

• Received, discussed monthly Management Report (new items to be looked after in accordance to urgency)

• Received, discussed Financial Statements for period ending December 31, 2010.

• Discussed "deficiencies" with pavement - due to winter temperatures, remediation to be done in Spring.

• Signed "hold back" cheque to cover deficiencies in pavement work.

• Received report on units progress in compliance of Special Assessment contributions. Many who requested re-scheduling of payments have not followed through. 

• Units (21) not yet in partial or/and full compliance of Special Assessment contribution will be part of the legal process as per required by the Condominium Act and Declaration. Process to begin as per lawyer's instructions.

• Reviewed and Discussed the Landscaping and Maintenance (Winter Service) contract. Despite some complaints from a homeowners, it was agreed that  "service is being performed as per contract."

• Mr. Reshamwallia (unit 157) regarding wish to be "considered for appointment to fill current vacant position on the board."

• Received, discussed Financial Statements for Period ending January 31, 2011.

• Discussed ways to ensure that Prestine clear the snow in a "more effective manner". Management will speak with foreman.

• Discussed and approved Board's  response to questions from homeowners regarding roadway, Special Assessment, and Reserve Fund

• Discussed suggestions from lawyer to best handle owners carrying our commercial activities in unit. Board decided to follow through with the suggestions and contact respective owners by registered post.

• Discuss status of request from owners for Special Meeting. Management presently awaiting confirmation of date and locale.

• From Elia Associates, Barristers and Solicitors, re: conduction of Special Meeting and voting procedures pertaining  to removal of director(s).

• From owner claiming "snow crew shoving snow under parked car." Management to contact correspondent for clarification.

• From Jennifer Coutinho (Councillor Michael Del Grande) re: best way to handle commercial business  and/or "second suites" under current by-laws.
